Job Posting: Internal ServiceAdvisor/Warranty Clerk


Position Overview:


We’re looking for a highlyorganized, detail‑driven Internal Advisor & Warranty Clerk to support ourSales and Service teams. This role ensures that vehicles move efficientlythrough t he service proce ss,warranty claims are handled accurately, and communication between departmentsremains seamless. You will be the central point of contact for ensuringefficient workflow and timely completion of tasks to maintain the highstandards of quality and customer satisfaction that our dealership is knownfor.


Key Responsibilities:


1. New Vehicle Pre-DeliveryInspections (PDI):



  • Coordinate and schedule PDIappointments for new vehicles arriving at the dealership.

  • Liaise with the sales team toensure timely completion of PDIs prior to customer delivery.

  • Conduct thorough inspections of newvehicles once they are dropped off from transport company to ensurecompliance with manufacturer standards and dealership quality criteria.


2. New Vehicle Make Ready:



  • Manage the process of preparing newvehicles for display and sale on the showroom floor.

  • Manage the process ofordering/organizing all relevant accessories, protection packages, etc.,to ensure vehicles are complete and ready for customer pick up.

  • Coordinate with the detailing teamto ensure that new vehicles are cleaned, polished, and presented inpristine condition.

  • Conduct final quality checks toverify that all get-ready tasks have been completed to the higheststandards.


3. Used VehicleReconditioning:



  • Oversee the reconditioning processfor used vehicles acquired by the dealership through trade-ins orpurchases.

  • Coordinate with technicians anddetailers to address any necessary repairs, maintenance, or cosmeticenhancements required to optimize the value and appeal of used vehicles.

  • Ensure that reconditioning tasksare completed efficiently and within budgetary guidelines.


4. Detail Department WorkCoordination:



  • Serve as the primary point ofcontact for the Detail Department, managing scheduling and prioritizationof detailing tasks.

  • Coordinate with the detailing teamto ensure that customer vehicles undergoing detailing services areprocessed promptly and with meticulous attention to detail.


5. Warranty Clerk



  • Process warranty claims promptlyand accurately, following all Toyota warranty guidelines.

  • Handle resubmissions, corrections,recalls, and documentation requirements.

  • Reconcile warranty receivables andwork with accounting to ensure full payment.

  • Keep informed on all factoryrecalls and bulletins


6. Additional ServiceSupport Tasks:



  • Help with service retention tasks.

  • Service customer follow-up calls,e-mails, and texts.

  • Help Service Appointmentcoordinator to book service appointments, and to ensure readiness forupcoming service appointments.

  • Other administrativeduties when needed.


Qualifications:



  • Previous experience in automotiveservice coordination and/or detail department, preferably within adealership environment.

  • Strong organizational skills withthe ability to multitask and prioritize effectively in a fast-pacedsetting.

  • Excellent communication andinterpersonal skills, with the ability to collaborate effectively withcolleagues across departments.

  • Detail-oriented mindset with acommitment to upholding quality standards and customer satisfaction.

  • Familiarity with automotivemaintenance and detailing processes is advantageous.

  • Proficiency in computerapplications for scheduling and record-keeping purposes.
