Job Summary
The Digital Recruitment Officer will be responsible for digital recruiting and conversion of high-quality students to Ontario Tech through a variety of digital channels and means. By creating and developing content, copy, multimedia and utilizing various communication channels (web, digital, social media, SMS, presentations, CRM etc.) to promote the Ontario Tech brand and programs and through the support of virtual recruitment activities, the Officer will work to execute the digital recruitment plans. This role will engage with prospective Ontario Tech students through digital means such as virtual fairs, webinars, live chat and 1-on-1 meetings. The Digital Recruitment Officer recommends and implements innovative digital recruitment-related initiatives, such as digital events and advertising, to increase applications and enrolments to the university and assists in fulfilling strategic and targeted digital communication and recruitment related campaigns. The Officer will be a key factor in ensuring communications are comprehensive, consistent and reflective of university key branding and marketing, and works to ensure prospective students are supported and engaged through the student journey. The incumbent will also participate in face-to-face recruitment as required.
Responsibilities/accountabilities
1. Content & Digital Creation
- Create, edit and develop digital communications, and content materials, in a variety of formats and using multiple platforms (Including landing pages, emails and digital advertising and web)
- Utilizes e-communication tools, advertising tools and virtual platforms (including Social Media) to increase applicant market-share and meet institutional enrolment goals
- Stimulates applications via digital advertising to prospective students through advertising content creation, and advertising follow up via communication methods such as text, email, and video
- Increases brand awareness of Ontario Tech to prospective students to grow enrolment through virtual channel content and creation
- Ensures a cohesive representation of Ontario Tech brand and messaging across virtual events and fairs
2. CRM and CMS
- Implements integrations, develops processes and maintains the Customer Relationship Management (CRM) system to proactively target and nurture assigned leads and applicants. This is including and not limited to integrations, lists, landing pages, forms, data mining, web pages, etc.
- Utilizes the Content Management System (CMS) to create landing pages, content pages, and recruitment and admissions related web pages
- Generates prospective student leads through digital means
- Optimizes university websites (central, faculty etc.) for prospective student engagement
3. Data Analysis & Research
- Researches trends and analyze data to support enrolment targets
- Stays apprised of digital recruitment opportunities that Ontario Tech could leverage to create awareness to prospective students (i.e. virtual/digital events, external blogs and podcasts)
- Extensive data mining of CRM data and usage to recommend and implement continued improvements to the practice of student recruitment
- Provides feedback, content, communication support, ideas and recommendations for improving the Ontario Tech brand, recruitment communication and marketing collateral, events and general recruitment initiatives
- Maintains knowledge of best practices and current digital trends regarding content and marketing to diverse target audiences
4. Outreach & Engagement
- Reaches out to prospective students to offer support throughout the recruitment, admissions and registration process to keep students interested, engaged and committed as they transition to becoming an Ontario Tech student
- Acts as a first-point of contact and respond to queries related to university admission requirements, programs, services and Student Life, using a variety of communication platforms, such as Live Chat, SMS, form submission, etc.
- Executes digital recruitment initiatives (such as webinars) that engage students with Ontario Tech programs and facilities to a variety of audiences
- Increases brand awareness of Ontario Tech to grow enrolment through virtual presentations and fairs
Required Skills
- Strong technical and multimedia skills
- Ability to create CRM campaigns including development, audience segmentation, triggers and automations
- Exceptional writing ability, and solid grasp of AODA and CP style, including the ability to be creative and write in a variety of styles (e.g. straight news, promotional, advertising, human interest, etc.) on tight deadlines
- Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community
- Demonstrated oral and written communication skills with an emphasis on presentation to external contacts
- Ability to make informed data driven decisions to digital, marketing and sales processes
- Proficiency in using advanced features associated with the current versions of Word, Excel, Access, Photoshop, video editing software and PowerPoint required
- Flexibility to work irregular hours at peak recruitment times to accommodate campaigns and webinars
- Ability to multi-task and maintain an organized and effective personal work environment
- Strong organizational and administrative skills, with the proven ability to keep current on changes and trends in the university environment
Required Education
- Completion of a four-year university program, specifically in a discipline related to communications, marketing, journalism/media-related field
- A combination of education and experience may be considered for this role
* Verification of Academic credentials may be required
Required Experience
- Minimum 1 to 3 years of experience in a related environment
- Experience in undergraduate student recruitment or digital marketing is an asset
- Experience in a post-secondary environment is preferred
- Experience with a CRM platform (HubSpot would be an asset)
- Experience implementing communications plans, marketing and/or journalism, with responsibility for managing projects and developing communications is preferred
- Clear Criminal Reference Check with Vulnerable Sector Screening
- Valid Ontario Driver's License (Class G) with clear Driver’s Abstract, and passport is required
Knowledge
- Client-centric and thorough understanding of target audiences and expectations, such as secondary, nonsecondary, non-traditional, parents, teachers, guidance counsellors and community partners
- Demonstrated working knowledge of digital recruitment
- Knowledge of inbound marketing and sales processes
- Experience with a customer relationship management platform
- Strong understanding of STEM disciplines
- A working knowledge of post-secondary programs throughout Canada is an asset
