In the normal course, employees will be hired, transferred or promoted between the minimum and midpoint of the salary range for a job.

Job Summary


The Senior Business Solutions Analyst (SBSA) holds a pivotal position in analyzing business needs and developing overall strategies for shaping the technology landscape for Enrolment Services and the enterprise student ecosystems. As a seasoned professional, the SBSA will provide expertise in requirements definition, business process definition, business process analysis and design, functional design, configuration, implementation, testing, training, facilitation and documentation to deliver student system solutions to the UBC community. The role extends beyond technical expertise; they ensure alignment across operational functions and strategic IT initiatives, emphasizing best practices in safeguarding student information.


The SBSA serves as a bridge, cultivating robust relationships with internal and external stakeholders, including UBC IT and ISC teams. They collaborate with staff at all levels within the university, providing guidance to ES business stakeholders during systems implementation projects. Additionally, the SBSA offers technical and operational support, acting as a subject matter expert for student ecosystem users. Their involvement extends to IT systems projects, where they actively participate in design, testing, and quality assurance efforts. The SBSA may manage the entire lifecycle of operational projects, which includes developing a project plan, coordinating the activities of a project team, identifying appropriate resources needed, and developing schedules to ensure the timely completion of a project.


Organizational Status


The Senior Business Solutions Analyst reports to the Associate Registrar and Director, Business Solutions and Support. Works closely and collaborates with the Associate Director, Business Solutions and Support. The Senior Business Solutions Analyst interacts with all levels of staff across units within Enrolment Services and other academic and service units across the campus, including UBC IT and the Integrated Service Centre (ISC) to provide service and support in identifying and shepherding system requirements. The Senior Business Solutions Analyst leads, provides direction, facilitates, coordinates and assigns work to staff.


Work Performed



  • Analyze, plan, and oversee change requests from Faculties and Services units related to enterprise student enterprise systems

  • Conduct workflow and gap analysis for enterprise business processes

  • Re-engineer and apply business architecture concepts to analysis to ensure strategic alignment with organizational goals, outcomes and business value

  • Collaborate with UBC IT, ISC, and Enrolment Services units to develop project proposals for student system enhancements and implementation

  • Work proactively as a change agent and learning facilitator, in collaboration with business unit leaders to inform and plan change and learning initiatives, identify challenges and recommend solutions to key issues

  • Engage with University community to understand how they are utilizing Workday Student and the various point solutions; collaborate with and guide Enrolment Services and the academic community on how to build and/or adapt their business processes to best leverage the solutions

  • Design and maintain the processes for centralized task requests in collaboration with the academic community

  • Lead the assessment of and analyze business needs utilizing a structured requirements process (gathering, analyzing, documenting, and managing changes) to identify business priorities and recommend options

  • Identify challenges, strategize innovative solutions to complex business scenarios and make decisions having a functional impact, including those issues that affect the university community; judiciously escalates within governance structure strategic issues requiring resolution along with solution options and recommendations

  • Develop overall strategies and provide advice on options, risks and costs versus benefits

  • Communicate with stakeholders of varying technical ability and subject matter expertise and explain services to business units of all management levels to ensure they have a clear understanding of roles, processes, analysis, recommendations, options, risks, and activities

  • Manage liaison relationships with business units to ensure solutions meet business needs

  • Conduct feasibility studies and draft proposals for evaluation by appropriate business units

  • Lead process streamlining workshops to re-engineer business processes and recommend improvements

  • Identify, elicit and document business requirements, define business rules and communicate requirements for the implementation of business solutions

  • Lead short and long-term planning sessions to implement integrated business process improvements

  • Provide recommendations on action plan to senior leadership and implement programs which cultivate a positive and engaged workforce

  • Prepare business and functional requirement specifications bridging multiple projects

  • Assess and identify interdependencies and opportunities to coordinate and leverage business processes

  • Provide leadership and management to a team of Support & Training Analysts

  • Manage multiple projects and their associated teams

  • Perform other related duties as required


Consequence of Error/Judgement


The Senior Business Solutions Analyst is a representative of Enrolment Services and liaises with Enrolment Services staff and various members of the university community, including UBC IT, ISC, faculties and service units. This highly visible position has continuous contact with Enrolment Services staff and a diverse university and public community. Projects led and coordinated by the incumbent will directly impact faculty, staff, and student relationships with UBC and the outside community. Failure to adequately involve stakeholders could result in the ineffective design of technologies to support business operations or the ineffective use of available technologies, resulting in unnecessary work by faculty, staff and administrators.


The inability to lead, guide or liaise appropriately with UBC IT and/or ISC could lead to unsustainable technology deployment or unnecessary downtime of systems, which could negatively impact system availability for faculty and staff and service to students. The success of these projects directly impacts the recruitment and retention of students at both UBCV and UBCO and service delivery levels by faculty, staff and administrators. A thorough understanding about privacy legislations, policies and data security is required to adequately ensure the appropriate levels of security are met. Unless adequate management and monitoring occur, the integrity of the security of the student information systems and the student records would be jeopardized, resulting in non-compliance and negative legal and reputational consequences for the University.


The position also carries responsibility for leading and facilitating the testing and training of new and changed pieces of the student information ecosystems. A thorough understanding of the student information ecosystem’s complex structure is required to adequately identify possible problems. Unless adequate testing and training take place, problems can occur once in production, again reflecting negatively on the system, Enrolment Services and, ultimately, the University’s customers and clients.


Decisions and actions taken by the Senior Business Solutions Analyst will directly impact how efficiently and effectively the systems and processes will perform and function. Errors in judgement, poor analysis, or failure to act decisively could have detrimental effects on the university community, affecting up to tens of thousands of students, faculty, and staff, and could result in lost productivity, funding, and revenue.


Supervision Received


Reports to the Associate Registrar and Director, Business Solutions and Support. Works independently with minimal supervision. Exercises initiative and sound judgement when making decisions. Works in collaboration with other senior University staff.


Supervision Given


Manages and supervises a team of Support & Training Analysts. Plans, directs, and supervises the work of project team members, as required.


Minimum Qualifications


Undergraduate degree in a relevant discipline. Minimum of five to six years of related experience, or an equivalent combination of education and experience.

Preferred Qualifications



  • Professional development in business analysis and related disciplines. Formal certification from a recognized professional organization or professional development provider is an asset.

  • Managerial experience plus specialized experience in the design and transformational projects.

  • Background or previous experience working in IT preferred.

  • Proven experience working with end users in a leadership or facilitative capacity, to perform requirements gathering and/or systems analysis.

  • Outstanding strategic thinking, planning and implementation skills.

  • Proven ability to hold an enterprise-wide view of the business.

  • Solid experience in organizational problem solving, change management and commitment to delivering results in a collaborative and collegial environment.

  • Experience modelling and reviewing business processes using various tools and techniques, including knowledge of principles, tools and best practices of business analysis, process streamlining and project management.

  • Experience developing and writing online documentation.

  • Demonstrated experience and ability to identify structural issues within an organization, functional interdependencies and redundancies.

  • Possess in-depth knowledge and work experience in higher education, preferably at UBC.

  • Working knowledge of enterprise technology, preferably within the higher education environment.

  • Exceptional communication skills which allow for effective communication at all levels of the organization.

  • Demonstrated ability to build, manage and maintain high-quality and productive relationships across cultural difference.

  • Demonstrated ability to effectively communicate and interact with empathy, understanding and, respect of diverse and divergent perspectives and behaviours.
