Job Description

We’re looking for a highly organized, tech-savvy Executive Assistant who excels at providing exceptional support and keeping operations running smoothly. If you take a proactive approach and anticipate needs with ease, this role is for you.


The ideal candidate is resourceful, adaptable, and skilled at managing a wide range of administrative and executive support tasks with efficiency and professionalism. The successful candidate will provide critical support to the President and Executive Leadership Team (ELT), playing a key role in ensuring our leadership team operates at peak performance.


This will be a full-time position, working Monday through Friday from our corporate office in St. John's, NL.


What You’ll Do:



  • Provide support/coverage to various administrative functions to ensure business continuity.

  • Assist with company initiatives, corporate events, and engagements.

  • Serve as the Executive Assistant to the President, while also supporting the broader ELT.

  • Take full ownership of calendar and email management, ensuring seamless scheduling and prioritization.

  • Proactively anticipate needs, ensuring leadership is well-prepared for meetings, travel, and business decisions.

  • Coordinate travel arrangements, including flights, accommodations, and itineraries for the ELT.

  • Manage the Front Desk Administrator and oversee the reception area to ensure a welcoming, efficient, and professional environment.

  • Draft and edit correspondence, and prepare reports, presentations and other required documents ensuring accuracy, confidentiality, and a high standard of detail.

  • Act as a liaison between the President, ELT, and key stakeholders, ensuring clear and efficient communication.

  • Support and advise the administrative staff, and ensure cross-functional teams stay aligned.

  • Establish strong connections with other EAs to industry leaders, government officials, and business executives.

  • Handle confidential information with discretion and professionalism.


What You Bring:



  • A post-secondary diploma or degree (business, communications, education or a related field preferred).

  • 5+ years of experience in executive support, business operations, or administrative leadership.

  • Exceptional organizational skills with the ability to manage complex schedules and competing priorities.

  • Tech-savvy, with expertise in Microsoft Office suite.

  • Strong communication and interpersonal skills.

  • Experience with event planning, including executive meetings and corporate functions.

  • A proactive mindset with the ability to anticipate needs and solve problems before they arise.

  • Leadership experience and the ability to foster collaboration across teams.

  • A commitment to professional growth, including participation in industry associations and community engagement.
