​​About the Role:

We are a busy, medical clinic in Richmond Hill seeking a top-tier Medical Office Administrator who treats healthcare administration as a profession—not just a job.

We are looking for a highly organized, detail-driven, patient-focused professional who can actively improve clinic efficiency, elevate patient experience, and support revenue optimization through effective operational planning 


Key Responsibilities (Core Functions & Daily Operations)

Patient Intake & Front Desk Operations

  • Professionally greet and manage a high daily patient volume
  • Register patients accurately in the Electronic Medical Record (EMR) system
  • Verify OHIP eligibility, demographic information, and consent forms
  • Maintain patient flow efficiency while preserving privacy and confidentiality (PHIPA-compliant)
  • Knowledgeable in phone operations and carry themselves with professional etiquette and business casual attire 


Scheduling & Appointment Coordination

  • Manage physician schedules, follow-ups, referrals, and urgent bookings
  • Optimize appointment flow to reduce wait times and maximize provider efficiency
  • Handle cancellations, rescheduling, and no-shows with professionalism and firmness
  • Coordinate with multiple providers, allied health professionals, and external clinics

Billing, Claims & Medical Documentation

  • Process uninsured services and payments accurately
  • Prepare and manage medical correspondence, referrals, and consultation reports


EMR & Administrative Excellence

  • Knowledge and experience in all aspects of the EMR system (e.g., Accuro, OSCAR, Telus PS, or similar) is essential.
  • Scan, upload, and index medical documents properly
  • Support quality improvement initiatives related to clinic workflow and data accuracy

Clinic Operations & Team Support

  • Act as a key operational pillar supporting physicians and clinical staff
  • Anticipate clinic needs and resolve issues before they escalate
  • Maintain inventory of medical and office supplies
  • Maintain clean office environment
  • Uphold clinic policies, professionalism, and operational standards at all times

This is a full-time position with an 8-hour workday schedule; 


Punctuality is a must. 


Occasional Saturday availability is required on an infrequent, as-needed basis to support clinic operations.
