Intake & Operations Manager – Independent Medical Examinations (IME)

About the Company

We are a growing Ontario-based Independent Medical Examination (IME) company supporting insurers, legal firms, and related stakeholders with high-quality, timely medical assessments. We are in an early growth phase and are building the foundational operational team that will scale with the business.

We are seeking an experienced Intake & Operations Manager to own and manage the end-to-end intake and coordination process for IME referrals, while also overseeing assessor recruitment, report quality control, and day-to-day operational execution.

This is a hands-on leadership role ideal for someone comfortable operating independently in a startup environment and growing into a senior operations leadership position as the company scales.



Role Overview

The Intake & Operations Manager will be responsible for:

  • Managing all incoming IME referrals from insurers and legal clients

  • Coordinating and recruiting qualified IME assessors across specialties

  • Overseeing scheduling, communications, and case flow

  • Ensuring report quality, completeness, and compliance before delivery

  • Working directly within industry-standard IME and case-management platforms

  • Establishing scalable intake, QA, and operational processes

While the role can be fully remote, familiarity with Ontario IME processes, timelines, and stakeholder expectations is essential.



Key Responsibilities

Intake & Case Management

  • Receive, review, and triage incoming IME referrals

  • Confirm scope, timelines, medical specialties, and documentation requirements

  • Coordinate scheduling between clients, claimants, and assessors

  • Act as the primary operational point of contact for referral partners

Assessor Recruitment & Coordination

  • Identify, recruit, onboard, and manage IME assessors (physicians, psychologists, allied health professionals, etc.)

  • Maintain an active and scalable roster of qualified assessors

  • Ensure assessors meet credentialing, licensing, and compliance standards

Report Quality Control

  • Review IME reports for completeness, accuracy, formatting, and compliance

  • Ensure reports align with referral questions and client expectations

  • Manage revisions, clarifications, and follow-ups with assessors

  • Maintain quality benchmarks and turnaround standards

Systems & Process Development

  • Work within industry-standard IME / case-management platforms

  • Develop and refine SOPs for intake, scheduling, QA, and delivery

  • Track KPIs related to turnaround time, quality, and assessor performance

  • Prepare the operation for future scaling and team expansion

Startup & Growth Support

  • Operate comfortably in a lean environment where you will be hands-on day-to-day

  • Help define the structure of future intake and operations team roles

  • Transition from individual contributor to team leader as volume increases



Required Experience & Qualifications

  • 5+ years of experience in IME intake, medical legal coordination, or IME operations

  • Strong knowledge of Ontario IME processes, timelines, and stakeholder expectations

  • Proven experience recruiting and managing IME assessors

  • Hands-on experience with IME or medical case-management platforms

  • Strong quality control and report review experience

  • Excellent written and verbal communication skills

  • Highly organized, detail-oriented, and deadline-driven

  • Comfortable working independently in a startup or high-growth environment



Preferred Qualifications

  • Prior experience in an IME company, medical-legal firm, insurer, or assessment network

  • Experience building or scaling intake and operations teams

  • Familiarity with privacy, confidentiality, and PHIPA-related requirements

  • Experience working with insurers, defense counsel, or plaintiff firms
